Consular Outreach Mission in Bergen, Norway on 11 and 12 September 2021

The Philippine Embassy in Oslo wishes to inform the Filipino community that the Embassy will conduct a Consular Outreach Mission in Bergen, Norway, on 11 and 12 September 2021.

 

WHEN: 11 and 12 September 2021, 9:00 a.m. - 1:00 p.m.

WHERE: Thon Hotel Rosenkrantz Bergen

HOW: Send your request for appointment and requirements to bergenoutreach1@gmail.com on or before 3 September 2021, Friday, 5PM (Oslo time).

 

IMPORTANT

 

  1. Only applicants with confirmed appointments will be accepted on the day of the consular outreach. No walk-in applicants allowed.
  2. Directly transact with Philippine Embassy by sending your application and requirements to bergenoutreach1@gmail.com  on or before 03 September 2021, Friday, 5PM (Oslo time).
  3. The Embassy has not authorized any third party to accept applications or arrange appointments. Please do not transact with any private individual, agent, or organization.
  4. There is no fee for online registration.
  5. Note that there are limited slots. The Embassy will only give confirmed appointments to applicants with complete requirements.

 

I. PASSPORT APPLICATIONS

  • Only the first 60 passport applicants with complete requirements, sent via email, will be given appointments.
  • In the Subject line of the email, write the following:

Bergen-Passport, [Name of Applicant/s] OR
Bergen-Passport with ROB/ROM, [Name of applicant]

 

II. CIVIL REGISTRY APPLICATIONS

  • In the Subject line of the email, write the following:

Bergen-ROB/ROM, [Name of Applicant/s] OR
Bergen-Passport with ROB/ROM, [Name of applicant]

  • Send the scanned requirements for Report of Birth (ROB) or Report of Marriage (ROM) listed on the Embassy website:

  • Those who are filing ROBs/ROMs and are also applying for passports will receive their copies of the ROB/ROM together with their new passport which will be mailed back to them by post. Postage must be paid by the applicant.

 

III. DUAL CITIZENSHIP 

  • In the Subject line of the email, write the following:

Bergen-Dual Citizenship [Name of Applicant/s] OR
Bergen-Dual Citizenship with Passport [Name of applicant]

IV. NOTARIAL AND ATTESTATION SERVICES

  • Notarial and attestation services include Acknowledgement of Special Power of Attorney and Employment Contracts and Attestation of Au Pair contracts.
  • In the Subject line of the email, write the following:

V. OVERSEAS VOTING REGISTRATION - FOR SATURDAY ONLY, 11 SEPTEMBER 2021

  • In the Subject line of the email, write the following:

Bergen-Overseas Voter Registration, [Name of Applicant/s]

REMINDERS ON THE DAY OF YOUR APPOINTMENT

  1. Bring a printout of the email confirming your appointment, together with your application form and requirements (original and photocopies).
  2. Applicants are advised to show up at the venue about 10 minutes prior to their designated appointment. 
  3. Incomplete requirements or incomplete photocopies will not be accepted. The Embassy does not offer photocopying services. The Embassy reserves the right to request additional documents/photocopies as necessary.
  4. Only applicants, during the time of their confirmed appointments, will be allowed in the consular outreach area. Minor applicants (17 years old and below), Senior citizens and Persons with Disability (PWD) are entitled to one (1) adult companion. However, only the service booked for the minor, senior citizen and PWD applicant shall be entertained.
  5. For passport applicants, if you would like the Embassy to mail your new Philippine passport, when it is available, you will need to arrange for your own return postage. Please bring your self-addressed, self-stamped envelope.   6. Bring a face mask to wear while within the venue premises, your own pen, and hand sanitizer.
  7. Submit the printout of your confirmed appointment and requirements (original and photocopies) to the processor.
  8. Pay fee to the cashier, in Norwegian Kroner, cash only.

REMINDERS FOR PASSPORT APPLICANTS

On the day of appointment:

1. Wait for your name to be called for biometric and photo capturing.

2. Check all the encoded data in the computer before signing the confirmation page.

3. Your signature indicates your confirmation on the accuracy and veracity of the information contained therein.  Thereafter, the Embassy is not responsible for any erroneous entry in a passport that needs to be corrected. The fee for the replacement of the passport with erroneous entries will be charged to the applicant along with any associated cost for travel to the Philippine Embassy in Oslo to correct the erroneous entries.

 

After the appointment date:

  1. The new passport will be available approximately 4 to 12 weeks from the date of application.
  2. Applicants may track the status of their new passport thru the Embassy's website: https://www.philembassy.no/newsroom/passports-ready-for-release
  3. Your tracking number is your receipt number and your last name.
  4. Applicants must send their old passport for cancellation to the Philippine Embassy in Oslo once the new passport is available.

6.    The Philippine Embassy shall not be responsible for the loss or damage to passport or documents in the mail.

7.    In case of RETURN TO SENDER, the applicant shall pay the penalty and the expense of re-mailing.
