Consular Outreach, Consultation with POLO-OWWA, and Town Hall Meeting with the Ambassador, on 9 to 10 April 2022, in Bergen, Norway

The Philippine Embassy in Oslo wishes to inform the Filipino community that the Embassy will conduct the following activities in Bergen, Norway from 9 to 10 April 2022:

  1. Consular Outreach Mission (Saturday, 9 April 2022, from 9:00 AM to 5:00 PM)
  2. Consultation with POLO and OWWA (Saturday, 9 April 2022, from 9:00 AM to 5:00 PM)
  3. Town Hall Meeting with the Ambassador (Sunday, 10 April 2022, from 9:00 AM to 11:00 AM)

 

A. CONSULAR OUTREACH MISSION

WHEN: 9 April 2022, Saturday

TIME: 9:00 a.m. - 5:00 p.m.

WHERE: Radisson Blu Royal Hotel, Dreggsallmenningen 1, 5003 Bergen

HOW: Send your request for appointment and complete requirements to bergenoutreach1@gmail.com on or before 6 April 2022, Wednesday, 5PM (Oslo time). Only applicants with confirmed appointments will be accepted on the day of the consular outreach. No walk-in applicants allowed.

REMINDERS

  1. The applications are on a first come-first served basis. Only the first 60 passport applicants with complete requirements will be given appointments.
  2. Directly transact with Philippine Embassy by sending your application and requirements to bergenoutreach1@gmail.com  on or before 6 April 2022, Wednesday, 5PM (Oslo time).
  3. The Embassy has not authorized any third party to accept applications or arrange appointments. Please do not transact with any private individual, agent, or organization.
  4. There is no fee for online registration.

HOW TO GET AN APPOINTMENT

  1. Send an email to bergenoutreach1@gmail.com, with the subject heading: Bergen-Passport, [Name of Applicant/s] 
  2. In your email, attach the scanned requirements for passport application (new and renewal) listed on the Embassy's website: https://www.philembassy.no/consular-services/passport
  3. The Embassy will review the application and attached requirements. If there are slots available and the submitted requirements are complete, then the applicant will receive an email confirming the time of the appointment.

ON THE DAY OF THE APPOINTMENT

  1. Applicants must bring the printout of the email confirming the appointment, together with the application form and requirements (original and photocopies).
  2. Applicants are advised to show up at the venue about 10 minutes prior to their designated appointment. 
  3. Incomplete requirements or incomplete photocopies will not be accepted. The Embassy does not offer photocopying services. The Embassy reserves the right to request additional documents/photocopies, as necessary.
  4. Only applicants, during the time of their confirmed appointments, will be allowed in the consular outreach area. Minor applicants (17 years old and below), Senior citizens and Persons with Disability (PWD) are entitled to one (1) adult companion. However, only the service booked for the minor, senior citizen and PWD applicant shall be entertained.
  5. For passport applicants, if you would like the Embassy to mail your new Philippine passport, when it is available, you will need to arrange for your own return postage. Please bring your self-addressed, self-stamped envelope.   6. Bring a face mask to wear while within the venue premises, your own pen, and hand sanitizer.
  7. The procedure below will be followed:
    1. PROCESSING OF DOCUMENTS – The printout of the confirmed appointment and the requirements (original and photocopies) are submitted to the Processor for review.
    2. PAYMENT – Payment is given to the Cashier. Only cash and Norwegian kroner will be accepted. The fees are Passport = NOK 540, Lost Passport = NOK 1,350.
    3. DATA ENCODING – Applicants proceed for the biometric and photo capturing.
    4. CHECKING OF ENCODED DATA - Applicants are advised to check all the encoded data in the computer before signing the confirmation page. The applicants’ signature indicates their confirmation on the accuracy and veracity of the information contained in the application. Thereafter, the Embassy is not responsible for any erroneous entry in a passport that needs to be corrected. Recapturing will be at the expense of the applicant.

AFTER THE DAY OF THE APPOINTMENT

  1. The new passport will be available approximately 4 to 12 weeks from the date of application.
  2. Applicants may track the status of their new passport thru the Embassy's website: https://www.philembassy.no/newsroom/passports-ready-for-release
  3. The tracking number is the receipt number and the applicant’s last name.
  4. Applicants must send their old passport for cancellation to the Philippine Embassy in Oslo once the new passport is available.
  5. The mailing address for the old passport is as follows:

  1. The Philippine Embassy shall not be responsible for the loss or damage to passport or  documents in the mail. In case of RETURN TO SENDER, the applicant shall pay the penalty and the expense of re-mailing.

 

B. CONSULTATION WITH POLO AND OWWA

WHEN: 9 April 2022, Saturday

TIME: 9:00 a.m. - 5:00 p.m.

WHERE: Radisson Blu Royal Hotel, Dreggsallmenningen 1, 5003 Bergen

In connection to the Embassy's Consular Outreach Mission, a team from the Philippine Overseas Labor (POLO) and Overseas Workers Welfare Administration (OWWA) based in London will be available for consultations on overseas employment and render the following services:

  1. Registration/verification of overseas employment contracts
  2. Overseas Employment Certificate (OEC) issuance for workers already in Finland who will take a vacation in the Philippines
  3. OWWA membership enrollment and updating

The registration/verification of overseas employment contracts (for holders of working visas) is applicable if:

  • the employment contracts have not been registered with POEA or Polo London,
  • the employees/workers transferred employment from another country to Norway, or
  • the employment documents were previously registered with the POEA prior to coming to Finland, but later transferred to a new employer.

The documentary requirements (2 copies each) are:

  • Employment contract, with signature of the worker and the employer,
  • Photocopy of passport with at least six (6) months validity,
  • Photocopy of both pages of biometric residence permit showing the NI number/work visa validity period that would cover the date of return to the job site,
  • Photocopy of latest pay slip or company ID, and
  • Affidavit of the worker stating the circumstance and timeline on hoe the employment was secured.

 

C. TOWN HALL MEETING WITH THE AMBASSADOR
